Administrative Specialist
The Administrative Specialist is responsible for performing general clerical tasks, communicating with and greeting clients, responding to phone calls and emails, handling payroll and personnel issues, and managing office equipment and supplies.

Reports to: Inbound Administrative Manager
Essential Job Functions:
  • Normal business hours are Monday through Friday, 8am to 5pm
  • Answer incoming calls on KGI main line and route appropriately
  • Create Tower Assets and Inbound Projects in KGI database
  • Review and analyze license agreements and rent calculations and update database with pertinent data
  • Update client database with notes and data regarding active projects
  • Update KGI and client database when projects cancel
  • Update fee payment information in KGI Database and notify appropriate parties of fee information
  • Request documents and information to issue Notice to Proceed
  • Communicate with Tower Owner’s to obtain approvals
  • Review documents and update database accordingly
  • Request mail-outs for agreements and update database accordingly
  • Process incoming applications, save documentation, and update database accordingly
  • Work with team to implement strategies to become more efficient and effective
  • Other duties as assigned

Requirements:
  • TEAM PLAYER
  • Minimum one (1) year of relevant experience
  • Organized with a strong attention to detail
  • Self-starter with a positive attitude
  • Strong written and oral communication skills
  • Strong interpersonal skills are essential, as well as having a strong work ethic
  • Basic computer skills including working knowledge of Outlook, Microsoft Word and Excel
  • Comfort multitasking and handling multiple requests from different individuals and departments
  • Ability to work quickly and in a potentially high-stress environment
  • Strong communication skills and extremely self-motivated when managing communication channels
  • Highly organized and capable of adapting to changing procedures based on client’s needs
